How do I create an account with Pilot?

To create an account with us, contractors need to be invited by the company.

What should I enter in the Business Details?

The information you’ll need for the Business Details section depends if you are registering as an Individual or Entity (acting as a legal entity).
If you are an individual, you can leave the information as is. If you choose Entity, you will need to fill in your business name as registered; if your business address is different from your residential address, you can uncheck the ‘same as residential address’ option and update it.

How to download my contractor agreement?

You can download the contract after you and the company sign them. The agreement will be available in your profile under the Contract section. You can open and download the PDF file by clicking the contract name.

Bank Account 🏦

How do I edit my bank account details?

You can edit your bank accounts from your profile.

  1. Go to the Bank accounts section.

  2. Click ‘Unlock’ and confirm your password.

  3. Click on the bank account you’d like to edit.

  4. Click the three dots on the right side and click ‘Edit’.

  5. The details that you will be able to edit are 'Account type', 'Account holder name', and 'Account holder address'.

If you wish to change major details such as the bank account number, you will need to add a new payment method with the new details. Check out this article for more information.

I didn't see an option to add the Intermediary Bank information, where should I add this?

Our banking partner will automatically route the payment via the intermediary bank that the receiving bank specifies. Banks are supported to keep the SWIFT network informed about their intermediary relationships and preferences for routing. So as long as your bank is keeping the SWIFT network informed, the payment should be routed through the right bank.

Can I add multiple bank accounts?

You can add as many bank accounts as you like in Pilot and can specify the currency they are in.

  1. Go to the Bank accounts section.

  2. Click ‘Unlock’ and confirm your password.

  3. Click on ‘Add another payment method’ and enter the bank details.

  4. Once you’ve entered the required information, the new bank account will be added to your payment methods list.

Which bank account will Pilot send my payment to?

In most cases, we'll send payments to the default bank account. However, there are some exceptions. To understand when an account will be used, check out this article. You can also find more information on the right-hand side of the Bank accounts tab:

Payments 💵

How can I submit a payment request?

You can easily request a payment from the customer through Pilot. Check out this article to learn how to do that.

How can I submit a reimbursement request?

Contractors can submit expenses for reimbursement by creating an expense report. Check out this article for more information.

How can I check the status of my payment?

Once you submit a payment request, you'll be able to see its status in the Payments tab.

  • Pending: your payment request was submitted to the customer for approval.

  • Processing: your request has been approved by the customer and your payment was scheduled.

  • Completed: your payment was sent and is on the way to you.

My payment is delayed. What should I do?

If your payment is delayed please reach out to our Support Team at support@pilot.co. They will be able to check if there are any issues.

My payment shows as completed. Why haven’t I received it?

We do our best to make sure your payment arrives exactly on that date chosen by your company. You can expect to receive the payment by EOD of your pay date or up until the next business day. If you still haven’t received the payment until then, please reach out to our Support team!

My payment was rejected/returned. What should I do?

If your payment got rejected by our finance provider or is being returned to Pilot, our Payment Operations team will get in touch with you to get it sorted as soon as possible.

How can I download my Paystub?

You can download the Paystub from the Payments tab in your Pilot profile.

  1. Click the three dots to the right of the payment and select ‘View paystub.’

  2. The Paystub will open. If you would like to download a PDF version of the Paystub, click ‘Download PDF’ in the upper right-hand corner.

Can I change my bank account for a payment that has already been scheduled?

Yes, if the payment is still under ‘Scheduled’ status, you can. Reach out to our Support Team, and they’ll be happy to assist with this request. Please ensure to have the new bank account added to your profile.

Taxes 📚

How should I pay my taxes when getting paid through Pilot?

When you’re working as a contractor, you’ll be responsible for paying your taxes, and we do not withhold taxes for contractors.

Your tax advisor would be the best person to advise you on your local taxes. Sadly, we can’t give you tax/legal advice.

Do I have to fill out the W8 form?

Yes, if your company chooses to collect compliance documents from you, you need to fill in the compliance form, which is the W8 form if you’re a Non-US citizen. Check out this article for more information on how to complete your W8 form.

What is a foreign tax identifying number?

This is the number you use to file your taxes. Here you can find an overview of domestic rules in the jurisdictions for each country and its respective Tax Identification Numbers.
